Below is a basic agenda for the 2025 board retreat. Feel free to add items in as needed before the retreat starts.
1. 2026
a. What do we want to try to change/add in 2026?
b. Upload minutes to website, make public (with login).
2. 501c(3)
a. Need to make sure and file 990N this year. Jordan and Tanya to make sure this is done.
b. Need donation letter response (forget what its called).
2. Offers/Duties/Bylaws
a. Board meetings every month – We did much better at this in 2025. Just need to keep it up.
b. Proposed bylaw updates. Need to have board agree, then present to band in February. Lets start with suggestion on what board members want to see in the bylaws today.
c. Update of all officers anywhere that hasn’t been.
d. Yearly budget the be approved by board.
e. Need paypal account for donations, etc.
f. Move to BluCurrent – Lets just get this done ASAP.

3. Music
a. Need to sort last years music still.
b. Need to do a big push to scan/print music. Get me the music for February and i’ll scan/print.
c. Suggest pause in all new music purchases (besides Christmas) until we get an updated inventory and select some pieces we haven’t used. Several donations that have never been used.
4. Concerts
a. Possible new static concerts:
Cherry Blossom Festival – Marshfield, MO – They said they’d love to have us back, i’ll confirm.
Greenfield Memorial Day Concert – Will get back in touch with them to see if they still want to do it.
b. Big Joplin Concert – Happening in 2026?
c. Submitting for arts fest, cider days, all the normal ones.
d. Silent auction seemed to go well, need to make a flyer for what not to donate.
e. Pumpkin Daze Issue – Letter and check ready, need contact person to mail to.
5. Inventory, repairs and needs
a. List of instruments that need repairs or need purchased (per Dorothy):
Percussion Table top – replace or repair
Woodblock – replace, pretty big crack
Bells – new soft case
Castinets – repair
Low tom-tom – buy?
Wind chimes – repair
triangle clips – buy
6. Donations now that 501c(3) is fixed
a. Palen, Ernie Williamson, City of Republic, Republic Chamber of Commerce, Missouri Arts Council

7. Anything else
a. New tenor player in February, new trumpet (may play baritone), new flute.
